AI Integrations for your business tools.

Your team answers customers, handles enquiries and finds information with less manual work. We build Artificial Intelligence assistants and automations connected to your CRM, your documents and your other business tools, with access and approvals agreed with you.

AI integration development.

Each integration connects AI to a specific task in your business, from document search to CRM updates. The permissions, testing and monitoring that daily use requires are part of the work.

AI assistants for business knowledge

Your staff get answers from your manuals, catalogues and internal documents, with the source shown for each one. We connect the authorised sources and apply each user's permissions. Content updates are defined from the outset, so answers follow the latest version of every document.

  • Document search
  • Answers with sources
  • User permissions

AI workflow automation

Incoming enquiries are handled with fewer manual steps, from reading the message to updating the CRM. AI interprets the request and prepares a contact update or routes it to the right team. Actions that require approval wait for a member of staff to review them before they run.

  • CRM integrations
  • Action approval
  • Result confirmation

AI document data extraction

Orders and delivery notes in PDF become structured data in your systems, without transcribing each line by hand. Extraction identifies references, quantities, dates and other fields agreed with you. Uncertain values are flagged for confirmation against the original document before import.

  • Field extraction
  • Source verification
  • Uncertainty review

AI monitoring and maintenance

Your team can follow completed tasks, errors and usage costs for each integration. When a request fails, an alert is raised so that someone can review the result and, if needed, suspend the feature. Retesting, model updates and fixes to system connections are part of ongoing support, with a scope agreed with you.

  • Activity and costs
  • Testing and updates
  • Pause and review

Your team stays in control.

Each integration has rules for missing information, restricted documents and actions whose outcome has not been confirmed. The three examples below show how they apply day to day.

When the lead time is not in the available content, the assistant flags the missing information and forwards the question to the sales team. The reply to the customer goes out only after the team confirms the date.

From first conversation to a working integration.

The integration goes live once it has been tested with your team, on routine cases and exceptions.

  1. Define inputs and actions

The analysis starts with the task and the tools your team uses today. We agree with you what the integration does, which data it can consult and which actions require approval. We also agree how to confirm that each execution has completed successfully.

  2. Connect and test exceptions

We build the integration and test it with complete requests, missing information, denied access and failures in connected systems. Your team reviews the results before use is extended to more people in the business.

  3. Hand over with controls

We put the approved features live and show your team how to review results, track costs and suspend the integration. Handover includes the agreed documentation and who is responsible for errors, source updates and future changes.

Questions about AI integrations?

Answers on access, costs, maintenance and ownership before you decide to go ahead with an AI integration.

Do I need a chatbot to integrate AI?

No. AI can work without a chat window, through a button that summarises a document, a search in your catalogue or automatic sorting of incoming enquiries. A chatbot is justified when conversation helps clarify what the person needs. The interface is chosen around the task and the person who carries it out. If you are not yet sure where to apply AI, our AI Consulting identifies the tasks with the greatest return first.

How does AI gain access to my content?

Through a search of authorised sources, which gives the model the relevant passages for each answer. There is no need to train a model from scratch. Documents do need to be kept up to date: when a commercial policy changes, the previous version stops appearing in results. We agree with you the update process and how to open the source of each answer.

Can an answer with sources still be wrong?

Yes. Search can return the wrong document, and the model can misread a correct passage. That is why we test both parts with routine questions, exceptions and questions the content cannot answer. Showing the source makes checking easier but does not replace it. For decisions with significant consequences, we define when a person must step in.

How do you keep restricted information out of answers?

Permissions are applied before any information reaches the model, as in your other business tools. An instruction telling the assistant to keep a secret does not replace that control. We test profiles with different access levels, including revoked access, and check search copies, saved responses and activity logs. The solution depends on how your systems manage permissions.

Can an assistant change records or send messages?

Yes, when the integration has those actions and permissions defined. For a customer message, for example, the recipient and the text are presented for approval before sending. The application validates permissions and fields, executes the action and confirms the outcome in the destination system. These rules sit in the application, not in the text the model reads, so that a document or an incoming message cannot change them.

What if my software has no API?

It depends on the connection methods your software supports, which is what we check first. A file import may be enough to update data periodically, but it does not work in real time. Automating tasks in the interface is another option, which needs more maintenance when screens change. Before proposing a solution, we set out the limitations of each option.

How do you choose the model and provider?

We test the options with real examples from your work. The comparison covers answer quality, speed, cost and data handling terms. A less expensive model may be enough to classify requests, while interpreting complex documents may need another option. APIs and AI SDKs simplify the connection, but switching provider means testing again.

How do we control usage costs?

We estimate the cost from request volume, document size and response length. Depending on the provider, the bill can include the model, search, storage and external services. Alerts, usage limits and how the application behaves when they are reached are agreed with you. The budget should also cover maintenance and the time your team spends reviewing results.

What could stop working after handover?

Sources change, access expires and providers update their APIs and models, which can change the results. We keep test cases to detect that impact. Before handover, we agree who updates the content, receives alerts and decides to suspend the feature. The maintenance scope is agreed from the planning stage.

What do I keep when the integration is delivered?

You keep the code and files developed for the integration, under the agreed terms. We provide the agreed documentation and identify the accounts, settings, assistant instructions, sources and tests needed to maintain it. Accounts should be in your business's name. Third-party models and services keep their own licences, terms and usage costs.
